Administrative Assistant for In-Vitro Diagnostics Project

Position Overview:
Global Health Research Center is seeking an Administrative Assistant to join our dynamic team working on a project aimed at strengthening the regulatory ecosystem for In Vitro Diagnostics (IVD). The successful candidate will provide administrative and logistical support to ensure the smooth operation of project activities, including workshops, roundtables, and executive development programs. The role requires good organizational skills, attention to detail, and the ability to work effectively with a diverse range of stakeholders, including regulatory authorities, manufacturers, and international partners.
The Global Health Research Center was established in 2013 and co-founded by Duke Kunshan University and the Duke Global Health Institute. The mission is to improve health and promote health equity in China and globally. Through conducting high-quality research, the Center aims to provide policy recommendations, explore innovative solutions to national and global health challenges and support national goals set by policies such as Healthy China 2030.
Duke Kunshan University is a partnership of Duke University, Wuhan University and the Municipality of Kunshan, China. The Duke Kunshan University campus is located 37 miles west of Shanghai in Kunshan, which is connected to Shanghai via a 15-minute high-speed train. In addition to global health and other research centers, Duke Kunshan University offers several graduate degrees and undergraduate programs.
This position is located in Kunshan City, Jiangsu Province, China.

Co-Director of Global Health
Essential Duties:
Support day-to-day execution of all activities related to the IVD Project. The responsibilities will include, but are not limited to, the following:
1. Assist the Project Manager in coordinating with partners from domestic and international organizations.
2. Support the organization of international roundtables, dialogues, and executive development programs, including scheduling, logistics, and record-keeping.
3. Arrange travel, accommodation, transportation, and other logistical details for events to ensure seamless execution.
4. Process reimbursement and procurement requests for project-related expenses.
5. Create engaging WeChat posts and promotional posters and ensure all promotional materials adhere to branding guidelines.
6. Manage project documentation, ensuring it is organized, accurate, and up-to-date.
7. Perform other tasks assigned by the supervisor.
8. University employees' job responsibilities will continue to expand in scope and depth as the University grows in size and complexity in its programs.
Required Qualifications:
1. Bachelor’s degree is required. Graduate’s degree is preferred.
2. Proficiency with office software tools, such as Microsoft Outlook, Word, Excel, and PowerPoint.
3. Strong interpersonal skills and the ability to work collaboratively in a team environment.
4. Good organizational skills and the ability to manage multiple tasks simultaneously.
5. Fluency in English and Chinese with strong verbal and written communication skills.
