POSITION SUMMARY
This position is accountable for supporting DSS China sales team for the daily business, administration, reporting, SAP system execution and supporting executive administrations.
PRINCIPAL ACCOUNTABILITIES
1. Business support
1.1 Answer customer call and daily paperwork in the office
1.2 Assisting sales quotation including quote for customer e-system/on-line system.
1.3 Receive/Download customer POs and process internal PR.
1.4 Process internal LOI and manager total equipment ordering quantity.
1.5 Process e-form or local supplier payment (OSAP)
1.6 Process EAR, tracking and route to next approver, ensure it release on-time per business requirement
1.7 Coordinate to issue invoice to customer, when manual invoice processed, need to issue SAP invoice accordingly
1.8 Equipment delivery track (import) and local delivery arrangement (to customer site)
1.9 SAP process
1.9.1 Create SAP projects
1.9.2 Create service orders
1.9.3 PR/PO/Shipment, following up GR/IR
1.9.4 WINSHUTTLE (customer data system)
1.9.5 SAP+ project support and resolve issues
1.10 Tracking opened projects and service order, providing update (excel sheet) on share-point
1.11 Regular quotation for service business
1.12 Other administrative support
1.13 Company chop application
1.14 Bidding document
1.15 Regular quotation (per sales request)
1.16 Document delivery to customer site (if required)
1.17 Supporting on equipment issues (communication)

2.1 Sales forecast report, Including for all Sales Order and Service Orders

3.1 Back up for BSS in ***
4. Executive assistant
4.1 Administration support for China president (DSS Grt China and SEA general manager)
4.2 Preparing for the assigned report (cross business units) in China
4.3 OD report and DSS and China
4.4 Office administration support
4.5 Back up other DSS assistant/BSS/administrator
5. Scope coverage
5.1 BSS support should include but not limited to the items listed above, any reasonable request (legally allowed) from manager should be treated as scope and as part of administration.
JOB REQUIREMENTS

1. Prefer for B.S. or above
2. With at least 2 years’ experience on sales assistant and administration and related experience
3. Good communication and organizational skills are required.
