Major Responsibilities/Duties 工作职责
ESSENTIAL DUTIES and RESPONSIBILITIES include the following (other duties may be assigned): 基本职责和责任包括以下内容(可能会分配其他职责):
1) Operate a switchboard and receive visitors so that all callers/visitors are dealt with promptly, courteously, and accurately. 操作总机并接待访客,以便及时、礼貌、准确地处理所有来电者/访客。
2) Receive and correctly route incoming and outgoing telephone calls at a switchboard or multi-line phone and maintain long distance call logs. Take and distribute accurate messages. Greet visitors and determine the nature of their visit; issue visitor passes and maintain visitor logs; alert appropriate party of visitor arrival or direct visitors to appropriate office, department or employee. 在交换机或多线电话上接收并正确路由呼入和呼出电话,并维护长途通话记录。接收并分发准确的信息。问候访客并确定他们的访问性质;发放访客通行证并维护访客日志;通知相关方访客到达,或将访客引导到相应的办公室、部门或员工。
3) Perform miscellaneous administrative activities such as organising and distributing mail, receiving and sending courier packages, preparing office supplies. 执行各种行政活动,如组织和分发邮件、接收和发送快递包裹、准备办公用品。
4) Maintain the contact list by monthly update and ensure its accuracy and completeness. 每月更新联系人名单,确保其准确性和完整性。
5) Assist the staff seats arrangement & new staff on board support. 协助安排员工座位和新员工入职支持。
6) Coordinate internal meetings so that they run smoothly. This may include scheduling meeting times, ensuring that various meeting amenities are available, for example equipment, food, and drinks. 协调内部会议,使其顺利进行。这可能包括安排会议时间,确保各种会议设施可用,例如设备、食物和饮料。
7) Maintain the office facility and furniture and keep the office environment in good state. 维护办公设施和家具,保持办公环境良好。
8) Assist the daily management of the cleaning staff. 协助清洁人员的日常管理。
9) Complete the purchasing and payment process timely. 及时完成采购和付款流。
10) Other ad hoc admin related working contents if required. 其他临时行政相关工作内容(如需要)。
Key Requirements 主要要求
1、 college above,working experience or relevant role in MNCs is a preferred. 本科以上学历,有跨国公司工作经验或相关职位者优先。1年以上行政/前台工作经验。
2、 Good oral and written communication skills in English. Solid Office software skills良好的英语口语和书面沟通能力。扎实的Office软件技能
3、 Good team player with open mindset; 良好的团队合作精神和开放的心态;
4、 Good communication skills良好的沟通能力
5、 Detail oriented & quick learner注重细节,学习能力强
6、 Service oriented mind set以服务为导向的思维方式
