Administration:
-Maintain a safe, green and nice office working environment.
-Manage office supplies (tea, coffee, water, tissues, plants, etc.), monitor vendors to ensure service quality.
-Work with procurement on admin contracts, including but not limited: office rental, car parking, express, printing, water, gardening, etc. Maintain vendor contact list.
-Contribute to office decoration and maintenance, office inventory checks whenever necessary.
-Responsible for admin related payments.
-Responsible for office fixed assets application and disposal process.
-Coordinate newcomers’ integration and employees’ resignation related admin issues: workstation preparation, office access, keys returning etc.
-Assist employee to apply visa for business purpose, prepare invitation letter for TTE foreign guests.
-Chop records and management.
-Admin budget preparation.
-Admin related policy creation and updating.
-Manage receptionists, Ayis, cars and drivers.
-Responsible for IDEAL related issues: including IGG creation, data maintenance etc.
-Manage distribution groups.
-Other tasks assigned by line manager.
Expats Services:
-Support expatriates’ mobilization/demobilization process (work permit & residence permit applications, moving, apartment & car lease, telephone, kids’ school…)
-Expats’ related allowance payment
-House insurance
Internal Communication:
-Support to internal activities, such as internal communication meeting, family day and so on.
-Assist to organize events, birthday party, annual party, outings, seminars. etc.
HSE:
-Assist to coordinate with HSE department to maintain office working environment’s safety.
-Work with HSE department to execute fire drill organized by Office building.
