The Complaints-resolution, Evaluation and Integrity Unit (CEIU) was established in 2016 as an independent unit within AIIB and is part of AIIB’s Oversight Mechanism created by its Board of Directors under Article 26(iv) of the AIIB Articles of Agreement. CEIU has three functions: handling of complaints related to environmental and social issues; learning and evaluation; and anti-fraud and corruption.
CEIU is looking for an Administrative Assistant to primarily provide administrative support to CEIU professionals across all three functions.
Responsibilities:
Under the supervision of the Managing Director, in coordination with the Executive Assistant and CEIU professionals the Administrative Assistant is expected to:
Provide logistical travel support including preparing travel arrangements, itineraries, visa applications, and travel reimbursements.
Coordinate and provide events management and meeting support for regular meetings, special events, and other internal and external awareness raising activities.
Assist in basic research, including preparation of background documents, translation of documents, and interpretation for meetings and events, as needed.
Draft routine office correspondence, prepare meeting notes, consolidate comments, and proofread select documents using proper English grammar, punctuation, spelling and following AIIB’s style guide.
Assist in word processing (formatting, editing, etc.), preparation and editing of PowerPoint presentations, preparation of spreadsheets, figures and charts, content management of public websites and CEIU site in AIIB’s intranet, management of social media accounts and outreach etc. using the full suite of available software (Microsoft Office, Excel, PowerPoint, Teams, Zoom, Cloud systems, etc.).
Assist in processing requests for corporate procurement contracts, hiring of individual consultant, unit budget, payment reimbursements, etc. using the Bank’s systems.
Coordinate with other internal units and external parties in support of CEIU deliverables.
Provide other types of administrative support, e.g. photocopying, binding, receiving visitors, etc.
Ensure effective prioritization and resolution of competing demands.
Establish, maintain, and ensure the timely update of the correspondence filing systems (both hard and soft copies) while ensuring that all activities supported are traceable and accessible as required.
Support other CEIU activities, as required.
Requirements:
Minimum of 1 year of relevant executive support experience in a large international corporate/financial institution; multilateral development bank(s) experience would be an advantage.
Excellent interpersonal, diplomatic, and organizational skills.
Self-motivated, service-oriented, and detail-attentive; able to work under pressure and meet deadlines.
Effective organizational, planning and time management skills and a responsive, problem-solving orientation.
Experience in exercising discretion and maintaining confidentiality of sensitive corporate information.
Proven experience of working with Cloud systems, Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Teams, etc.) and other relevant office software (Zoom, etc.).
Excellent command of written and spoken English.
Interest in the work of CEIU, willingness to work across three unique and independent functions, and demonstrated ability to balance and manage multiple priorities across teams.
